Incoterms Usage for Wholesale Essential Oils

Incoterms (International Commercial Terms) are a set of internationally recognized rules that define the responsibilities of buyers and sellers for the delivery of goods under sales contracts. Understanding these terms is crucial when dealing with international wholesale essential oils as they determine who bears the costs and risks of transporting goods from the seller to the buyer. Here is a breakdown of the commonly used Incoterms:

  1. FOB (Free On Board)
  • Description: In an FOB agreement, the seller is responsible for all costs and risks until the goods are loaded onto the ship or aircraft at the port of origin. Once the goods are on board, responsibility shifts to the buyer, who assumes the costs and risks for transportation, insurance, and unloading at the destination.
  • Usage in Essential Oils:
    • Seller's Responsibility:
      • Preparing the goods for shipment.
      • Delivering the goods to the port.
      • Loading the goods onto the ship or aircraft.
    • Buyer's Responsibility:
      • Paying for sea or air freight.
      • Arranging insurance and unloading at the destination port.
  • Example Scenario:
    • If you are purchasing essential oils from an international supplier, you would pay for the shipment once the goods are loaded onto the ship at the origin port. You also bear responsibility for any damage or loss after that point.
  1. CIF (Cost, Insurance, and Freight)
  • Description: Under CIF, the seller is responsible for the cost of goods, insurance, and shipping to the destination port. However, the buyer assumes responsibility once the goods arrive at the destination port and are unloaded.
  • Usage in Essential Oils:
    • Seller's Responsibility:
      • Preparing the goods and arranging shipping.
      • Paying for freight charges and insurance coverage until the goods reach the destination port.
    • Buyer's Responsibility:
      • Paying for customs clearance, import duties, and unloading at the destination port.
  • Example Scenario:
    • With CIF, the seller takes care of all transport costs and insurance until the shipment arrives at your destination port. Once it arrives, you are responsible for paying customs duties and managing the final delivery.
  1. EXW (Ex Works)
  • Description: EXW means that the seller’s responsibility ends when the goods are made available for pickup at their premises or another agreed-upon location. The buyer assumes all costs and risks from the point of pickup.
  • Usage in Essential Oils:
    • Seller's Responsibility:
      • Making the goods available for pickup at their warehouse or location.
    • Buyer's Responsibility:
      • Arranging and paying for all shipping, transportation, customs clearance, and insurance costs.
  • Example Scenario:
    • If you are purchasing essential oils from a supplier in another country, EXW means you must arrange for transportation from the seller's warehouse to your destination. This includes the cost of shipping, customs clearance, and unloading.
  1. FOB Air Freight (Free On Board Air Freight)
  • Description: Similar to FOB for sea freight, FOB Air Freight refers to the seller’s responsibility for the goods until they are loaded onto an aircraft. The buyer then takes over the cost of air freight, insurance, and any other charges after the goods are loaded on the plane.
  • Usage in Essential Oils:
    • Seller's Responsibility:
      • Preparing the essential oils for shipment.
      • Delivering the goods to the airport.
      • Loading the goods onto the aircraft.
    • Buyer's Responsibility:
      • Paying for air freight, insurance, and unloading at the destination airport.
  • Example Scenario:
    • When purchasing essential oils via air freight, the seller will cover the cost to get the goods onto the aircraft. After that, you, the buyer, will handle all transportation costs and any risks once the goods are airborne.
  1. DAP (Delivered At Place)
  • Description: Under DAP, the seller is responsible for delivering the goods to a specified location in the buyer’s country, with all costs covered by the seller, excluding customs duties and taxes.
  • Usage in Essential Oils:
    • Seller's Responsibility:
      • Shipping, freight, and all delivery costs up to the buyer’s door.
    • Buyer's Responsibility:
      • Paying for customs duties, taxes, and any further delivery costs.
  • Example Scenario:
    • You purchase essential oils, and the seller delivers the goods to your warehouse or another specified location. However, you are responsible for paying any customs duties or taxes upon arrival.
  1. DDP (Delivered Duty Paid)
  • Description: DDP places the highest responsibility on the seller. The seller takes care of all costs associated with delivering the goods to the buyer's location, including transportation, taxes, and customs duties.
  • Usage in Essential Oils:
    • Seller's Responsibility:
      • Handling shipping, freight, customs clearance, duties, taxes, and final delivery to the buyer's location.
    • Buyer's Responsibility:
      • Receiving the goods at the agreed location.
  • Example Scenario:
    • The seller handles everything, including delivering the essential oils to your door, with no additional costs or duties required from you, except receiving the goods.

Customs and Import Duties

When shipping internationally, it’s important to consider customs clearance and import duties:

  • Customs Clearance: The process of declaring goods to customs authorities at the destination port and paying the required duties and taxes. Depending on your shipping terms, either the buyer or seller is responsible for this process.
  • Import Duties: These are the taxes imposed by the importing country on goods being imported. They vary depending on the product category, value of the goods, and the country of origin. Buyers must be aware of these charges to avoid unexpected costs.
